Dear Customer,

    We are aware that Spam (unsolicited e-mail) is a growing problem. We have attempted numerous filters and Spam protection devices on our server to only find that a broad based approach didn't satisfy every ones needs. For example blocking offensive words that prevented e-mails of an adult nature also started to block many peoples jokes that might have the odd rude word in it. In effect almost everything we blocked upset at least one person who thought we were filtering their mail.

    The only effective solution is to allow individual users to customize the level of protection they desire on their mail box. If you follow these instructions below you will be able to effectively cut 80-90% of the Spam currently reaching your box. I have included a list of suggested filter words, excluding adult language. I suggest you print this page to make set up easier.

    This suggestion only works for users that use Microsoft's Outlook Express 5 or 6 e-mail client.

Creating Message Rules in Outlook Express

Message rules in Outlook Express or any other e-mail program allow you to filter your e-mail from Spam/junk mail. Instead of seeing Spam email messages in your Inbox, you can filter them to be moved automatically to your Deleted Items Folder or any other folder. You can also setup message rules that will send messages that have attachments (possibly virus infected) to a separate folder so you do not accidentally open them and infect your system. To create message rules, do the following:

From the menu click Tools > Message Rules > Mail (Click the thumbnails to see the entire image)

From the Message Rules dialog box click the New button

Under 1. Select Conditions for your rule: Place a checkmark in the box that says "Where the message body contains specific words"

Under 2. Select Actions for your rule: Place a checkmark in "Delete It".)

Under 3. Rule Description (click on an underlined value to edit it): Click "contains specific words"

Type university diplomas (example) and click Add then click OK (Here you could type any words that you see frequently in Spam/junk email messages. Here are some examples: university diplomas, ink jet, sex, porn, xxx, viagra, long distance, judicial judgments, bulk email, we don't want to waste your time, 100% free, to be removed send an email, online casino, to be remove, to be removed, mailing list, click here, for a limited time only, unsubscribe, home based business, achieve financial freedom, 100% guarantee, 100% guaranteed, sexual potency, incest, 2nd mortgage, low rates, you are receiving this e-mail, live cam, psychic reading, million emails, million e-mails, new webcam, removed from our list, my free site, buy recommendation, stock pick, unsubscribe, removed from our list ) After clicking OK you will be returned to the New Mail Rule dialog box.

Under 4. Name of the rule: Type the name of the message rule (make this name something meaningful.) For this rule I would use SPAM. Click OK.  
 
If you want to test your settings you can click Apply Now on the main message rules box. Otherwise you should find that this massively reduces Spam to your mail box in the future. Be aware that this filter list might remove you from any solicited newsletters you belong to.
